Receive against an order
- Open the purchase order.
- Under Receive stock, enter how many of each line arrived. Leave a line blank if none came.
- Add a lot or batch code and an expiry date if the supplier's label has them.
- Press Add to stock. Stockbeam adds the units to your Shopify inventory.
Anything not received stays on order. Receive the rest when it comes.
Faster ways to fill in the quantities
- Scan to receive: above the lines, scan a barcode or type a SKU and press Enter. That adds one to the Receive now box on the matching line, up to what is still to come, and a note under the box says what happened. If no line matches, or more than one does, the note says so. Scanning only fills in the box. Nothing is added until you press Add to stock.
- Fill in everything still to come: puts what is still to come on every line into its Receive now box. Change any line that came in short. Clear the quantities empties them again. Nothing is added until you press Add to stock.
- Enter moves down: in a Receive now box, Enter moves to the next line's box and Shift and Enter move up. Enter does not submit anything.
The Selling price / margin column shows each line's selling price from Shopify, and the margin that the line's unit cost leaves against it. It shows a dash where the price or cost is not known. It is for your information only and changes nothing.
More than one location
Received stock goes to the location you set for that line on the purchase order, under Where each line goes when it arrives (it shows when you have two or more locations). A line left blank goes to your usual receiving location. Receiving at the till in Shopify POS books stock into that till's location, and the till lists only lines meant for that location or left blank. There is no location picker on the Receive stock screen in the Shopify admin.
Your usual location is in Settings, then Stock and locations, under Where deliveries are received, in the Receive stock into box. The default is Wherever the product is already stocked, which means the location holding the most of that product. If the location you choose does not stock a product, it goes to wherever that product already is.
To move stock between locations afterwards, see the guide on moving stock between locations.
Updating Shopify's product cost
In Settings, Stock and locations, the Product cost section has a choice called Replace Shopify's product cost when you receive. Press Save after you choose. Its options are Off (default), Latest delivery cost, and Weighted average.
When on, Stockbeam replaces the Cost per item in Shopify, which Shopify's margin and profit reports use, each time you receive a delivery. It uses the unit cost on the purchase order line, without shipping or other charges, as it was when the delivery was received. Lines with no cost, or from a supplier invoicing in a different currency, are left alone. Undoing a delivery puts the old cost back, unless the cost has changed in Shopify since or Shopify had no cost before.
Weighted average uses the stock available across all locations just before the delivery and Shopify's cost at that time. If either is not known, Stockbeam uses the latest delivery cost and says so in Activity.
Undo a delivery
Each recorded delivery has an Undo. It takes those units back off the order and back out of stock, in Stockbeam and in Shopify. If some have already sold, you are warned before confirming.
Expiry dates
Expiry dates lists the batches you recorded, soonest to expire first, so you can sell or clear them in time.
