Getting started with Stockbeam

Install, bring your suppliers across, set lead times, make your first purchase order and receive it.

What happens when you install

Stockbeam reads your products, stock levels and the last 60 days of your orders from Shopify when you install, then adds each new order as it is placed. The first sync usually takes a few minutes; a large store can take longer. The screen updates itself as the data lands, so there is no need to refresh.

The first time you open the app you are asked to accept the Stockbeam merchant terms. You can read them, and the privacy policy, from Settings at any time.

Inside the app, the Get started page walks you through the same steps and ticks each one off as Stockbeam sees it done.

Starting point

Stockbeam asks this first, and each answer leads to the same steps after the first one. Pick the one closest to you.

  • Coming from Stocky. Bring your Stocky purchase orders, open and past, and any supplier list you kept.
  • I keep suppliers in a spreadsheet. Upload it and Stockbeam creates your suppliers from it.
  • Starting fresh. Stockbeam suggests suppliers from the vendors on your products.

Coming from Stocky

  1. Gather your Stocky files: the purchase orders export (the items version if you can choose), any single-order CSVs, and any suppliers spreadsheet you have. The full list is in the guide on switching from Stocky, under Which files work.
  2. In Stockbeam, open Settings, then Connections, and choose Import (the Get started page has an Import from Stocky button). Add the files there.
  3. Check the preview, which says what each file is and what will be created, then import.

The guide on switching from Stocky lists the exact files Stockbeam reads and where your suppliers and lead times come from. Then carry on with lead times below.

I keep suppliers in a spreadsheet

  1. On the Get started page, choose Upload a spreadsheet.
  2. Any spreadsheet with a supplier name column works, and Stockbeam also reads email, lead time and minimum order if they are there.
  3. Check the preview, then import. Stockbeam creates your suppliers from it.

Then carry on with lead times below.

Starting fresh

  1. Open Suppliers. If your products carry a vendor in Shopify, Stockbeam lists the vendors it found and can make each one a supplier in one click.
  2. Otherwise, choose Add a supplier and enter the company you buy from and how many days their deliveries take.

Then carry on with lead times below.

Check your lead times

Lead time is how many days an order takes to arrive. Each reorder date depends on it, so open Suppliers and set the real figure for each one. If every supplier is already on the default and that is right, press These are right on the Get started page.

In Settings, Buying, under Reordering defaults, you can also check the default lead time for products with no supplier, and how many days of stock to order at a time.

Give every product a supplier

Stockbeam can only put a product on an order once it has a supplier. Open Products and pick a supplier for each one, or use the Products filter for products with no supplier.

If a product carries a brand that matches one of your suppliers, the Get started page offers Assign by brand, which gives each of those products its supplier in one tap.

Create your first purchase order

On the Reorder page, Create purchase orders drafts one order for each supplier from what needs ordering. Check each draft, then send it. The guide on purchase orders covers editing and sending.

Receive a delivery

When stock arrives, record what came in on its purchase order and Stockbeam updates your Shopify stock, or tells you why it could not. A part delivery is fine: the rest stays on order. The guide on receiving has the detail.

Optional extras

  • Shopify POS: receive deliveries and count stock from your till. See the guide on setting up Stockbeam on your till.
  • Smart forecasting (seasonal): lets Stockbeam adjust orders for your busier and quieter times of year once it holds a year of your sales. Turn it on in Settings.
