Bundles and gift boxes

Gift boxes, kits and multipacks: how to tell Stockbeam what is inside, how you stock them, and how their sales reorder the items.

What counts as a bundle

A bundle is a product you sell that is made of other products you also sell: a gift box of three candles and a card, a starter kit, a multipack. Only the box goes through the till, so without help the candles inside would look like they are not selling, and could run out unnoticed.

Tell Stockbeam what is inside each bundle and how you stock it. Stockbeam then counts the box's sales towards the items inside, where that is the right thing to do, so the items are reordered for them.

How you stock it

Each bundle has one answer to "How you stock it". Pick the one that matches what happens in your stockroom. Nothing is pre-selected, because this answer decides whether the items are ordered once, twice or not at all, and Stockbeam does not guess.

  • Packed to order: you keep the items and pack the box when it sells. A box sale counts as a sale of each item inside, so the items are reordered for it.
  • Made ahead: you pack boxes in advance and keep them on the shelf. Boxes you have already made count as stock of the items inside. The items are reordered for the boxes' sales too, and items already packed in boxes count as stock, so they are not bought twice.
  • Shopify takes the items off stock: when a box sells, Shopify or your bundle app already lowers the stock of each item inside. Stockbeam sees that in the items' own sales, so it does not count the box sale a second time. If the box also has sales of its own, its card in Settings, Bundles says so. Some apps sell the box as one product but take only its items off stock, so those sales can be missing from the items' sales. If that happens, choose Packed to order.

If you are not sure which applies, sell one box in a test and look at the items' stock in Shopify. If the items went down by themselves, choose Shopify takes the items off stock. If only the box went down, choose Packed to order or Made ahead.

How box sales reach the items' reorder

For a box that is Packed to order, each item's sales rate is its own sales plus its share of every box it goes into. Ten boxes with two carabiners each add twenty carabiners to the carabiners' sales, so the carabiners are reordered for twenty more.

For Made ahead, the box sales are added too, and items already packed in boxes count as stock, so nothing is counted twice. For Shopify takes the items off stock, the box sale is not added on top, because Shopify already counted it on the items.

The same choice decides how a demand rule on the box behaves. The guide on demand rules and forecast edits has the detail under Rules on bundles.

A demand rule on a Made ahead box changes only the box's own forecast, not the forecast of the items inside, so add a rule on the items too.

Set up a bundle

  1. Open Settings, then Buying, and under Rules and setup choose Bundles.
  2. If Shopify already knows what is inside a bundle, it is listed under Bundles in Shopify. Press Add bundle to bring it across.
  3. Otherwise, under Add a bundle, choose the Bundle (the product you sell) and one Item inside, then How many in each bundle. Add one item at a time: a box with three candles and a card has two items, Candle × 3 and Card × 1.
  4. Choose How you stock it, then save. The choice applies to the whole bundle, not just that item.
  5. Check the bundle under Your bundles. You can change how you stock it later, and Stockbeam asks you to confirm before it changes how the items are reordered.

Many bundles at once? The Bundles page has a spreadsheet import at the foot of the page, one file at a time.
